Job Description: Manager of a Shared Office

 

Position Overview:

We are seeking an experienced and proactive Manager to oversee the operations of our shared office space. As the Manager, you will be responsible for ensuring the smooth functioning of the facility, managing client relationships, coordinating events, and providing excellent customer service to our members. Your main objective will be to create a productive and collaborative environment for all occupants while maintaining the highest standards of service and professionalism.

 

Responsibilities:

1. Facility Management:

– Oversee the day-to-day operations of the shared office space, ensuring it is clean, well-maintained, and fully functional.

– Coordinate repairs, maintenance, and renovations as needed.

– Manage inventory of office supplies, equipment, and furniture.

 

2. Client Relationship Management:

– Develop and maintain positive relationships with existing and potential tenants/members.

– Address and resolve any issues or concerns raised by clients in a timely and satisfactory manner.

– Conduct regular check-ins with tenants to understand their needs and gather feedback.

 

3. Administrative Support:

– Handle inquiries and give tours to potential clients, showcasing the benefits and features of our shared office space.

– Oversee the leasing process, including preparing contracts, collecting rent payments, and managing move-ins/outs.

– Maintain accurate records of leases, contracts, and client information.

 

4. Event Coordination:

– Organize and host networking events, workshops, and seminars to foster a sense of community among the members.

– Collaborate with tenants to plan and execute events, ensuring they run smoothly and meet their objectives.

– Assist with marketing efforts to promote upcoming events and attract new members.

 

5. Customer Service:

– Provide exceptional service to all tenants by promptly addressing their needs, queries, and complaints.

– Act as a liaison between tenants and property management, ensuring effective communication and resolution of issues.

– Continuously seek ways to improve the overall member experience by implementing feedback and suggestions.

 

Requirements:

– Bachelor’s degree or Diploma in business administration, hospitality management, or a related field (preferred).

– Prior experience in facility management, property management, or a similar role.

– Strong organizational and multitasking skills.

– Excellent interpersonal and communication skills.

– Ability to build and maintain relationships with a diverse range of individuals.

– Proficient in using office software programs (Microsoft Office, Google Suite, etc.).

– Proactive problem-solving attitude and ability to work well under pressure.

– Flexible schedule, as some evening or weekend work may be required for event coordination.
